Facilities And Admin Supervisor

Qualifications:

 

  • Minimum of 5 years of relevant experience in Admin & Facilities management.
  • Proven experience in budgeting and cost control for facilities operations, including maintenance, repairs, and capital improvement projects.
  • Strong knowledge of building systems such as HVAC, plumbing, electrical, fire protection, and security systems.
  • Experience in space planning, layout design, and optimization.
  • People management and administrative experience.
  • Certified BOSH/Safety Officer is an advantage.
  • Strong attention to detail, problem-solving skills, and project management abilities.
  • Ability to work under pressure, meet deadlines, and manage multiple tasks effectively.
  • Proficiency in MS Office and other business software.
  • Strong communication skills with discretion and confidentiality
  • Amenable to extend working hours, if necessary
  • Willing to work on a shifting schedule

 

 

Roles & Responsibilities:

  • Oversee daily operations of administrative staff and ensure high-quality service delivery.
  • Develop and implement policies for operational procedures.
  • Manage inventory and requisition of cleaning supplies and other facilities materials.
  • Prepare and maintain accurate records, databases, and reports.
  • Conduct performance evaluations and provide coaching to staff.
  • Manage OPEX and CAPEX budgets for facilities operations, including forecasting and cost administration.
  • Stay informed on industry trends and coordinate with contractors for services.
  • Investigate and report facility-related complaints or concerns to the Admin Manager.
  • Conduct inspections of facilities and coordinate repairs, maintenance, and other project work.
  • Ensure facility systems (building, sanitary, mechanical, electrical) are functioning optimally.
  • Coordinate building inspections, proactive maintenance, and specific project work.
  • Assist in managing building fit-outs, relocations, and other building works, ensuring budget and design compliance.
  • Ensure compliance with Health and Safety, Risk, and local regulatory requirements.
  • Maintain relationships with Admin building teams to streamline operations.
  • Oversee the cleanliness and safety of company premises.
  • Plan, schedule, and manage shuttle services for employees.
  • Supervise office housekeeping, security personnel, and third-party service providers.
  • Manage food concessionaires and cafeteria operations.
  • Provide logistical support for company events.
  • Handle reports from technicians, action plan proposals, and monitor utilities (water, electricity).
  • Supervise the facilities team’s reports and maintain asset management and inventory records.
